We are seeking a proactive and detail-oriented Team Co-ordinator to support the smooth running of our department and drive improvements in service delivery across our organization. In this role, you will provide essential administrative and project support to the director and management team, ensuring that our operations are both efficient and effective.
Duties would include:
- Provide comprehensive administrative assistance to the Heating Team, ensuring smooth day-to-day operations.
- Manage communications by handling enquiries from residents, internal stakeholders, and contractors.
- Implement and manage resident satisfaction surveys to gather feedback.
- Develop and coordinate service recovery solutions based on survey outcomes.
- Report on responses and follow up to ensure timely and effective resolution of issues.
- Maintain up-to-date records, both in paper and digital formats.
- Extract data from various systems and perform basic analyses to support reporting.
- Organise internal and external meetings, including drafting agendas, booking venues, managing invitations, and preparing minutes.
- Support the team with project initiatives, ensuring deadlines are met and outcomes are clearly communicated.
- Provide cover and support for team members during absences.
Essential criteria and experience:
- Exceptional ability to manage multiple priorities in a fast-paced environment.
- Proven experience in coordinating responses and ensuring timely follow-up.
- Excellent written and verbal communication skills.
- Ability to interact effectively with residents, contractors, and internal teams.
- Good IT skills, including proficiency with MS Office applications.
- Comfortable extracting and analysing data from various systems.
- Demonstrated ability to work well in a busy team setting.
- Proactive approach to supporting colleagues and ensuring overall team success.
