Clerical Officer

Job Description

Service Care Solutions are looking for a Clerical Officer to work within the Dorset Police on a 6-month contract.

Location: Weymouth Police Station

Job role/responsibilities:
To Facilitate the processing of Notices of Intended Prosecution (NIPs), Officer Issued Tickets (OITs), which include Fixed, Mobile, Red Light and Laser camera offences captured on film/video up to and including preparation for presentation at court with a remit to attend court as a witness. To facilitate the processing for Driver Awareness Scheme (DAS) and Safe and Considerate Driving (SCD) courses.

  • To ensure the correct action is taken for proved offending vehicles with emergency vehicles voided if applicable.
  • To investigate any suspicious or unusual circumstances (possible cloned plate, SORN declarations etc) when checking VRM against PNC for frames checked.
  • To verify responses to Notice of Intended Prosecution (NIPs,) identifying any errors or omissions and inputting to the Startraq system.
  • To verify any evidence being sent to a potential offender and to prepare court files.
  • To facilitate personal service of documents by internal/external forces.
  • To receive Traffic Offence Reports (TORs), HORT 2 documentation and transfer information onto the Pentip system.
  • To make the decision if an extension is to be granted for document production.
  • To process all applicable seatbelt offences to Your Belt Your Life in a timely manner as a disposal method.
  • To make necessary checks for document production, address details, MOT status, payment status and update on offence status before flagging an offence suitable for consideration of prosecution.

Knowledge/Experience required:

  • A good standard of education or relevant experience to evidence literacy and numeracy, as you will be required to input and update records with a high degree of accuracy.
  • Good communication skills, both written and oral, able to communicate positively and clearly with experience of dealing with potentially hostile members of the public in a multi-cultural society.
  • Good interpersonal skills able to deal with stressful situations within the office environs; a high level of tact and diplomacy is required.
  • Good IT skills with the ability to use MS Office, including Access & Excel, and to learn various confidential in-house systems.
  • The ability to multi-task in a pressured, time constraint department.
  • The ability to work independently within the office environs or as part of a team.
